I am Sarah Rebecca Vine, trading as Inspirit Coaching, a UK-based sole trader providing coaching, healing and related services to clients in the UK and worldwide.
I am the data controller responsible for the personal information I collect and use through Inspirit Coaching.

INFORMATION I MAY COLLECT
Depending on how you interact or work with me, I may collect information including:
your name and contact details, such as your email address and telephone number;
information you provide when making an enquiry or booking a session;
information you provide through Calendly or client forms and agreements;
information relevant to our coaching or healing work together;
brief client notes where appropriate for ongoing coaching relationships;
information you choose to share from personality or self-development assessments, such as the Enneagram, where this is relevant to our coaching work;
information relating to appointments, payments and our work together;
correspondence between us by email, telephone, messaging services or other communication methods; and
technical information collected when you use this website, including information collected through cookies and analytics.
During coaching or healing work, you may choose to share information of a sensitive or personal nature. This could include information about your physical or emotional health, wellbeing, religious or spiritual beliefs, relationships or other personal experiences. Some of this may be classed as special-category personal data under UK data-protection law.
I generally collect personal information directly from you, for example when you contact me, book a session, complete a form or agreement, communicate with me or work with me as a client.
I only collect information that is relevant and reasonably necessary for the services I provide.
HOW I USE YOUR INFORMATION
I may use your personal information to:
respond to enquiries;
arrange and manage appointments;
provide coaching, healing and related services;
maintain appropriate notes to provide continuity for ongoing coaching clients;
understand information you choose to share about yourself, including relevant personality or self-development assessments, where this may support our coaching work;
communicate with you about your sessions or services;
manage client agreements, administration and payments;
maintain appropriate business, financial and tax records;
operate, manage and improve my website and services;
comply with legal or regulatory obligations; and
send you marketing communications where I have an appropriate lawful basis to do so.
I do not sell your personal information.
I do not use automated decision-making in providing my services.
MY LAWFUL BASES FOR USING YOUR INFORMATION
Under UK data-protection law, I must have a lawful basis for using your personal information.
Depending on the circumstances, I may rely on:
Contract – where using your information is necessary to provide services you have requested, manage our agreement or take steps at your request before entering into an agreement.
Legal obligation – where I need to keep or use information to comply with a legal requirement, including relevant financial and tax obligations.
Legitimate interests – where using your information is reasonably necessary for running and protecting my business, provided those interests do not override your rights and interests.
Consent – where I have specifically asked for and received your consent for a particular use of your information.
Where you choose to share special-category information with me and it is relevant to our work together, I will ensure that I have an appropriate lawful basis and an additional condition for processing that information. Where I rely on your explicit consent, you may withdraw that consent at any time.
COACHING AND CLIENT NOTES
I may keep brief electronic notes for ongoing coaching clients where this is helpful for maintaining continuity and supporting our work together.
I do not routinely keep detailed session notes for every client or every session. For example, I may not retain session notes following a one-off session where there is no ongoing need to do so.
Client notes and agreements are stored securely using password-protected business systems, with access restricted to me. I only keep information that is relevant and reasonably necessary for providing my services and managing the client relationship.
Sessions conducted through Zoom are not routinely recorded. If there is a reason to record a session, I will discuss this with you beforehand and obtain your agreement before recording.
BOOKINGS, VIDEO CALLS AND PAYMENTS
I use third-party services to help me operate Inspirit Coaching. These may include:
Calendly for appointment scheduling and information you provide when booking;
Zoom for online video sessions;
Google Workspace and Google Drive for business email, client documents, agreements and secure electronic records;
PayPal and Stripe for processing payments; and
my website provider and associated services for operating and securing this website.
These providers may process certain personal information in accordance with their own privacy terms and/or their agreements with me.
I do not receive or store your complete debit or credit card details when payments are processed by Stripe or PayPal.
INTERNATIONAL DATA TRANSFERS
Some of the service providers I use operate internationally or may process or store information outside the UK.
Where personal information is transferred outside the UK, I take reasonable steps to use providers that have appropriate arrangements and safeguards in place for international data transfers in accordance with applicable UK data-protection law.
You can contact me if you would like further information about safeguards relevant to your personal information.
HOW LONG I KEEP YOUR INFORMATION
I only keep personal information for as long as it is reasonably necessary for the purpose for which it was collected or where I am required to retain it for legal, accounting or regulatory purposes.
For ongoing coaching clients, I may keep brief client notes throughout our work together and for up to 12 months after our coaching relationship ends, to provide continuity should you choose to work with me again. After this period, these notes will normally be securely deleted.
Other records, including client agreements, payment and financial records, may need to be retained for different periods to meet legal, accounting or business requirements.
I periodically review the information I hold and securely delete information that I no longer need.
MARKETING COMMUNICATIONS
I may from time to time offer you the option to receive news, updates, resources or information about Inspirit Coaching and my services.
Where consent is required for electronic marketing, I will only send it where you have actively chosen to receive it. Where applicable law permits me to contact existing customers about similar services without separate consent, I will provide an opportunity to opt out.
You can unsubscribe or ask me to stop sending marketing communications at any time.

This website uses cookies and similar technologies.
Necessary cookies are used for essential website functions. Other cookies, including performance, analytics or advertising cookies, may be used subject to your choices and applicable consent requirements.

SHARING YOUR INFORMATION
I do not sell your personal information.
I may share or allow access to personal information only where reasonably necessary, including with trusted service providers that help me operate Inspirit Coaching, such as booking, website, video-conferencing, cloud-storage, email and payment providers.
I may also disclose information where I am legally required to do so or where disclosure is necessary to establish, exercise or defend legal rights.
KEEPING YOUR INFORMATION SECURE
I take reasonable steps to protect the personal information I hold from unauthorised access, loss, misuse or disclosure.
This includes using password-protected business systems, restricting access to client information and taking appropriate care with electronic client records.
No method of electronic storage or transmission is completely secure, but I take reasonable measures appropriate to the nature of the information I hold.
YOUR DATA PROTECTION RIGHTS
Depending on the circumstances and the lawful basis on which your information is processed, you may have rights including the right to:
ask for access to the personal information I hold about you;
ask me to correct inaccurate or incomplete information;
ask me to delete your personal information in certain circumstances;
ask me to restrict the way I use your information;
object to certain uses of your information;
receive certain information in a portable format; and
withdraw consent where I rely on consent.
You also have the right to object to processing based on legitimate interests and the right to object at any time to the use of your personal information for direct marketing.
